About the Role

Dental Receptionist is the first point of contact for clients who access care at BHN. Dental Reception will be responsible for welcoming the client at reception, registration, data entry and other associated functions as directed by the Program Lead/Dental Assistant Lead. The primary function of this role is to facilitate the smooth operation of the dental clinic by managing patient flow between the waiting room and clinic; providing high-level administrative support to management and clinicians and liaising with internal and external stakeholders to ensure high-quality patient care. The Dental Reception is also responsible for ensuring appointment spots are filled throughout the day by contacting clients to fill a late-notice cancellation or a Fail to Attend (FTA) spot.  This position will be expected to provide after-hours support mid-week as required on site.

Key Responsibilities:

  • Client Interaction: Greet clients warmly and respectfully, keep their info private, make sure all their paperwork is sorted, handle patient flow and delays, arrange for interpreters if needed, share info about other services, get feedback to improve, help with courier stuff, and keep the waiting area and workstations tidy.
  • Admin Tasks: Help run the clinic smoothly, get clients registered, manage appointment schedules, handle calls and walk-ins, respond to emails, work with external providers, and assist clinicians with paperwork and other tasks.
  • Financials: Help with selling oral health products, and manage and balance daily payments like co-pays and Medicare.
  • Teamwork: Make sure everything runs smoothly day-to-day, work well with the team, and join in on team meetings and training.
  • Professional Growth: Help with creating new policies, focus on personal and professional development, and stay updated with ongoing education.

 

About You

Essential Qualifications

  • Experience in customer service, preferably health industry
  • Certificate III in Dental Assisting (preferred)

Essential Experience

  • Knowledge of and/or experience in using of client management system (Titanium) used in public dental system
  • Strong experience working within a busy medical reception, with dental experience preferred
  • Demonstrated ability to provide high-quality customer service to clients with complex needs
  • Demonstrated ability to work autonomously within established processes, and the skills to prioritise workloads and meet deadlines
  • High-level computer knowledge and skills in Microsoft Office suite, with strong attention to detail
  • Knowledge and experience of basic accounting processes
